Privacy Policy

At Parish Of Sunninghill And South Ascot we collect different types of information about our users for the following main reasons:

  1. To provide a useful resource in the form of an online directory of users.
  2. To provide an interactive website where email is used to communicate with the users.
  3. To provide a security mechanism whereby we can restrict content to certain groups of users.
  4. To inform you of news and information about events, activities and services within the parish of Sunninghill and South Ascot
  5. To comply with the legal obligation to compile an ecclesiastical parish electoral roll.
We have also asked for details of Next of Kin/ Emergency Contacts for use in case of an emergency where we might need to contact someone on your behalf (e.g. a medical emergency or significant concern for your welfare where reasonable and numerous attempts have been made to contact you directly). Provision of this information is purely voluntary and optional.
 

Our principles

We are absolutely committed to protecting your privacy. Our policy can be summarised in one sentence: we will not share your information with others without your consent.

We have established the following two principles:

  1. We will respect your email privacy. You will only receive emails or other communication from Parish Of Sunninghill And South Ascot in relation to areas you have expressly signed up for.
  2. We will not share any individual user details (including your email address) to any third party without your consent.

What information do we collect?

We collect information on our users through registration.

The minimum information we need to register a user is your first and last name and a password. We also ask for some further, voluntary information so we can provide a richer, more useful address book.

For those who wish to be included on it, we also collect data necessary for compiling the parish electoral roll.

Who will have access to your information?

You have control over who is able to access specific items of information. By default your personal information will be visible to other authenticated users of the site. You can change these settings from your personal profile page. Your information will be used to build the online address book and will be accessed by church staff, PCC and leadership team.

The Electoral Roll is a public document - it is shared with the diocese, and a redacted version (without addresses) is posted at the back of each church.

How long do we keep data?

6. Your rights and your personal data

 Unless subject to an exemption under the UK GDPR, you have the following rights with respect to your personal data: -

  • The right to request a copy of the personal data which The PCC of Sunninghill and South Ascot holds about you (a Subject Access Request or ‘SAR’);
  • The right to request that the PCC corrects any personal data if it is found to be inaccurate or out of date; 
  • The right to request your personal data is erased where it is no longer necessary for The PCC of Sunninghill and South Ascot to retain such data;
  • The right to withdraw your consent to the processing at any time where we have obtained your consent;
  • The right to request that the data controller provide you with your personal data in a structured, commonly used and machine-readable format. Also, to transmit that data directly to another data controller (in limited circumstances).
  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
  • The right to object to the processing of personal data (in limited circumstances);
  • The right to lodge a complaint with the Information Commissioners Office.

What else you should know about privacy

Remember to close your browser when you have finished your user session. This is to ensure that others cannot access your personal information and correspondence if you share a device with someone else or are using a device in a public place like a library or internet cafe. You as an individual are responsible for the security of, and access to, your own device.

Please be aware that whenever you voluntarily disclose personal information over the internet that this information can be collected and used by others. In short, if you post personal information in publicly accessible online forums, you may receive unsolicited messages from other parties in return. Ultimately, you are solely responsible for maintaining the secrecy of your usernames and passwords and any account information. Please be careful and responsible whenever you are using the internet.
